This policy explains what personal information Athleet.Ai collects, why, who it is shared with and the choices you have. It covers the Athleet.Ai website and every Athleet.Ai edition.
1. Who we are
Athleet.Ai is run by Ecaveo Services Ltd ("we", "us"), a company registered in England and Wales (company number 07824133) with its registered office at 27 Old Gloucester Street, London, WC1N 3AX. We are the controller of the personal information described here. We are registered with the Information Commissioner’s Office, reference ZA747700. 2. What we collect
- Account details. Your name and email address, and which editions and tool sets you have access to.
- What you put into the tools. Your messages, the plans and answers produced for you, and any files, images or video you upload. This can include information about athletes you coach or care for, and may include health information such as injuries, if you choose to enter it.
- Athlete profiles kept by a coach. A coach can keep a profile of each athlete they coach: date of birth (the AI tools are only ever given the month and year, never the day), age group, stage of development, training load, events or position, goals, lifestyle notes, injury history and short practical health notes in the coach's own words. The profile is stored encrypted under a code. The athlete's name is stored apart from it, also encrypted.
- Payment information. Payments are handled by Stripe. We receive your name, email, the plan or pack you bought and whether payment succeeded. We never see or store your card details.
- Usage and technical information. How many messages you send, when you sign in, and basic device and connection information such as browser type and IP address.
- Messages to us. Anything you send through the contact form or by email. Questions typed into the Ask Athleet.Ai box on this website are kept for up to 60 days, without your name, email or address, so we can improve the answers.
- Cookie choices. Whether you accepted or declined non-essential cookies.
3. How we use it
- To provide the service you asked for: signing you in, running the tools, keeping your history and taking payment. The legal basis is our contract with you.
- To keep the service secure and working, apply fair use limits, fix faults and understand how it is used. The legal basis is our legitimate interest in running a reliable service.
- To reply to you and send service messages such as invitations, receipts and notice of changes. The legal basis is our contract with you.
- To use non-essential cookies, only if you agree. The legal basis is your consent, which you can withdraw at any time.
- To keep records the law requires, such as payment records for tax.
Where you enter health information about yourself or an athlete, we process it only to give you the guidance you asked for, on the basis of your explicit consent in choosing to provide it.
4. Artificial intelligence
Athleet.Ai tools use AI models supplied by third parties. When you use a tool, the content of your conversation is sent to those providers so that an answer can be produced. We do not sell your information, and we do not use it to train our core models.
AI output can be wrong. It is guidance to support a coach, athlete or parent, and is not medical advice.
5. Who we share it with
We share personal information only with companies that help us run the service, under contracts that limit what they may do with it:
- Cloudflare, for hosting, storage and email delivery
- Clerk, for sign-in and account security
- Stripe, for payments
- The AI models that produce your answers. Our tools use small language models that we design, build and deploy ourselves, supported by larger models from Anthropic, OpenAI and Pickaxe. These suppliers process your messages and uploads to produce your answers and are not permitted to use them to train their models.

- Hume AI and Deepgram, only if you use voice or dictation features
- Consently, to record your cookie choice
If your access is provided by a club, academy or governing body, that organisation's administrators can see that you have an account and how much you use it.
We may also share information where the law requires it, or to protect someone's safety.
6. Where it is held
Some of these providers process information outside the United Kingdom. Where they do, we rely on safeguards recognised under UK data protection law, such as adequacy regulations or approved contract terms.
7. How long we keep it
We keep your account and history for as long as your account is open. If you delete your account, or ask us to, we remove your account, any athlete profiles you keep and all traces of your history with our AI services. A coach can delete any athlete profile at any time, and profiles are removed automatically after a year without use. Payment records are kept for as long as tax law requires, normally six years.
8. Young people
Some editions are designed for young athletes and their parents. If you are under 18, use Athleet.Ai only with the agreement of a parent or guardian. Children under 13 must not create an account; a parent or guardian can use the Parent edition on their behalf.
If you coach or care for a young athlete, share only what is needed, and make sure you are entitled to share it.
If you are a coach and keep a profile of an athlete, you are responsible for telling that athlete, and a parent or guardian if the athlete is under 18, that you keep it. Do not record medical diagnoses or safeguarding concerns in a profile. Only you can see and use the profiles you keep. When you name the athlete in a coach tool, a summary of the profile goes to the AI service with your message, identified by the code and not by name. Athletes and parents are never profiled by anyone else, and the parent and athlete tools keep no profiles.
If you are an athlete, or the parent or guardian of one, and want to see, correct or remove what a coach holds about you, ask the coach, or email us and we will help.
9. Your rights
You can ask us for a copy of your information, to correct it, to delete it, to limit or stop how we use it, or to send it to you in a portable form. Where we rely on consent, you can withdraw it. Email hello@athleet.ai and we will respond within one month. You can also delete your account yourself.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
10. Cookies
We use essential cookies to keep you signed in and to remember your cookie choice. Anything beyond that is used only if you accept it in the cookie banner. You can change your choice at any time using the cookie settings control on this site.
11. Security
Information is encrypted in transit, access is restricted to those who need it, and each edition runs in its own separated environment. No system is perfectly secure; if a breach affects you, we will tell you and the regulator as the law requires.
12. Changes
We will update this page when the policy changes and tell account holders about anything significant.
